Satellite Symposia

What is included in the fee?

• Presentation room with standard audiovisual equipment. Symposium organizers are required to use the existing room layout and AV. Encore is the Forum’s exclusive AV provider. Any additional AV equipment requires pre-approval from ACTRIMS and must be ordered through Encore. Approved additional equipment and labor are the responsibility of the symposium organizer.

• Custom digital podium branding. Subject to ACTRIMS review and approval.

• Up to three complimentary Delegate registrations exclusively for Satellite Symposium faculty and three complimentary Satellite Symposium Vendor registrations for accrediting organization staff, approved AV personnel, or similar support staff. Vendor registration is not available to employees of Industry Supporters. All Industry Supporter employees must register as Delegates.

• Live streaming is available exclusively through the ACTRIMS Forum Event App. Only Forum registrants will have access to the Event App. Live streaming via any other platform is strictly prohibited.

• Live polling through ACTRIMS’ Slido account. Organizers may create custom polls that attendees respond to using their own mobile devices. PowerPoint integration is required and allows polls to be displayed directly within the presentation slides. Organizers will also receive access to the Slido Analytics dashboard to review audience engagement and export results into  Excel.

• Q&A via the ACTRIMS Forum Event App.

• Recording is included. At the organizer’s request, the symposium recording will be provided to the accrediting organization within three business days following the Forum. With the organizer’s permission, the recording will also be available on demand in the Forum Event App exclusively for registered attendees. Organizers may additionally elect to have their recording included in the ACTRIMS Online Library beginning in June 2027 (approximately three months after the Forum). Please note: content in the Online Library is publicly available at no cost.

Are there any additional expenses to be aware of?

• ACTRIMS is not responsible for accreditation fees, faculty honoraria, travel, registration, or other symposium expenses. All faculty are required to present in person and register for the Forum. Organizers are responsible for registration fees  beyond the complimentary badge allotment outlined above and for any approved additional AV equipment or labor as described above.

• Organizers are strongly encouraged to provide food and beverage during their assigned symposium at their expense. Food and beverage arrangements must be made through the Phoenix Convention Center.

• Satellite Symposium organizers may provide up to two foam core easel signs to ACTRIMS for placement at the Forum venue. Organizers are responsible for designing, producing, and shipping signage.

• Lead retrieval technology is available through ACTRIMS for an additional cost.

Where will Satellite Symposia take place, how will the room be set, and what is the expected attendance?

• All Satellite Symposia will take place at the Phoenix Convention Center in North 122A.

• The room will be set with approximately two-thirds classroom-style seating and one-third theater-style seating.

• Based on previous ACTRIMS Forums, the room will be set for approximately 300 attendees.

Can Satellite Symposium organizers bring in their own Audience Response System (ARS)?

• External audience response systems require ACTRIMS pre-approval. Organizers are responsible for all associated costs.

How early may supporters access their assigned lecture hall the day of their Satellite Symposia?

• 30 minutes before the scheduled start time.

How will Satellite Symposia be promoted?

• Titles, dates, times, and appropriate disclaimer information will be listed on the Program Schedule page of the ACTRIMS Forum website with the option to  link to the organizer’s website with additional symposium information, if applicable.

• Satellite Symposium information will also appear in the Forum Event App under the Agenda and Satellite Symposia features.

• ACTRIMS will send one pre-Forum email to registered attendees highlighting the full Satellite Symposium schedule, including session titles, required disclaimers, and organizer website links (if provided). ACTRIMS will send a push notification via the Event App prior to the start of each Satellite Symposium to encourage attendance.

• Up to two foam core easel signs, provided by Satellite Symposium organizers, may be placed by ACTRIMS at the Forum venue.

Are there additional promotional opportunities?

• Organizers may promote their Satellite Symposium through their own marketing channels, including email and social media. All promotional materials require ACTRIMS pre-approval and must include appropriate disclaimer language.

• Symposium organizers may purchase an Event App Virtual Briefcase Insert and/or a Direct Mailing List for $5,000 each.

  • Event App Virtual Briefcase Insert: Design and create your own virtual marketing piece that will be in the hands of attendees before, during, and after the Forum via the Event App.

  • Direct Mailing List: Receive one-time access to the postal mailing addresses of pre-registered Forum attendees that opt-in to receive communications from Industry Supporters. Email addresses are not included.

Will the organizers receive live stream viewer reports?

• ACTRIMS will provide Satellite Symposium organizers a summary report of attendees who viewed the live stream of the symposium via the Event App. The report will include the attendee’s name, email address, and organization.

What is the application deadline?

• Satellite Symposium slots are assigned on a first-come, first-served basis until all slots have been filled. Due to limited availability, Satellite Symposium organizers must have written confirmation of funding from an Industry Supporter at the time of application submission.

The following guidelines will be enforced to ensure that there are no disruptions to the program and are subject to change at any time without notice. Failure to comply with these guidelines may result in Sanctions.

‍ ORGANIZATION

• Satellite Symposia are organized and entirely supported by third-party organizations with sponsorship contracts to be established between ACTRIMS and the accrediting organization.

• Commercial organizations may apply to fully fund up to two Satellite Symposia per ACTRIMS Forum. There is no limit to the number of Satellite Symposia a commercial organization may jointly fund.

• Only Satellite Symposia that offer certified continuing education (CE) are allowed. Accreditation is the organizer’s responsibility. All Satellite Symposia must comply with the Accreditation Council for Continuing Medical Education (ACCME) Standards for Integrity and Independence in Accredited Continuing Education.

• The symposium topic must support an MS-relevant educational objective. Topics that contribute to the 2027 theme, “Charting the Path Forward,” or align with ACTRIMS’ mission and values are encouraged. Topics must complement, but not duplicate, themes or sessions in the official ACTRIMS Forum program.

• Symposia are limited to 60 minutes including Q&A. Start and stop times must be strictly adhered to.

• Faculty are invited by the symposium organizer. All faculty are required to present in-person at the Forum and must be present for the entire duration of the symposium. Virtual presentations are not permitted. ACTRIMS is not responsible for faculty honoraria, travel, registration, or other symposium expenses.

• Satellite Symposia with multiple presenters should include both male and female faculty. Organizers should strive for gender-balanced panels, recognizing that exact balance may not be achievable in every circumstance. For example, a three-person panel might include two male and one female presenter (or vice versa), while a four-person panel would ideally include two male and two female presenters. Faculty should primarily be drawn from academic institutions and represent a balanced mix of emerging and experienced investigators and clinicians. Diversity in race and ethnicity among faculty is also strongly encouraged.

• Individuals may participate as a speaker or chair in no more than two Industry Supported Satellite Symposia and/or Industry Showcases. Serving as both chair and speaker within the same session counts as one activity. Symposium and Industry Showcase organizers are responsible for communicating this policy to invited faculty.

• Dynamic presentation formats, including debate-style sessions, are encouraged to enhance engagement and attract attendees.

• To encourage fresh content and faculty perspectives, organizers that have hosted a Satellite Symposium within the past three ACTRIMS Forums must explain during the application process how their proposed 2027 symposium differs from previous years.

‍ ‍PRESENTATION

• ‍The symposium organizer must notify ACTRIMS immediately in the event of any faculty or agenda changes following the Scientific Program Committee’s review and approval of the submitted symposium application.

• Branded product names may not appear in symposium titles or in any promotional materials or materials presented or distributed during the symposium. All presentation materials are the responsibility of the organizers, including obtaining any required copyright permissions and licenses.

• Organizers are responsible for managing session evaluations. CE claim instructions and/or evaluation information may be included on the final presentation slide. A link to the organizer’s CE claim website or session evaluation can also be included within the Satellite Symposium session in the Event App.

• Any supplemental materials (e.g., syllabus, abstracts, CE claim instructions.) must be submitted to ACTRIMS for review and approval and must include the following statement: "This independent Industry Supported Satellite Symposium is not included in the ACTRIMS Forum 2027 accredited program. CE certification provided by [Accrediting Company name]." The symposium organizer is responsible for involving symposium faculty in the development and review of these materials and obtaining their approval prior to distribution.

• Any derivative materials require approval from ACTRIMS and additional fees may apply.

‍ ‍DISCLOSURES

• ACTRIMS will include the following statement on all program materials: “This CE activity is provided by [Accrediting Company name]. This independent Satellite Symposium is supported by an educational grant from [Industry Supporter name] and is not included in the ACTRIMS Forum 2027 accredited program.”

• Organizers will be provided with a slide to display at the start of their presentation that includes the above statement.

• Any pre-event web, email, or social media campaigns developed by Satellite Symposium organizers require ACTRIMS’ pre-approval. The disclosure statement above must be included, along with the following: “ACTRIMS Forum registration is required to attend this independent Industry Supported Satellite Symposium. Register online at forum.actrims.org.”

All applicants agree to comply with ACTRIMS’ Industry Supporter Policies, Terms and Conditions, as well as all supporting documentation, including, but not limited to, the Industry Supported Satellite Symposium Manual. Application submission is an offer to organize an Industry Supported Satellite Symposium. A binding contract between the CE accreditor and ACTRIMS is formed upon written slot assignment confirmation and issuance of an invoice. ACTRIMS reserves the right in its sole discretion to reject any application.
