REGISTRATION

The presenting author of an accepted abstract must register and attend the ACTRIMS Forum 2024. Those presenting as “ePoster/Virtual Only” must register as a virtual participant. The presenter registration deadline is Wednesday, February 7, 2024. Presenters who do not register by the deadline will be dropped from the program. Please note that all presenters are responsible for their own registration expenses.

MULTIPLE ACCEPTED ABSTRACTS

If more than one abstract by a given author is accepted and scheduled for presentation during the same session, it is recommended that a co-author present one of the abstracts.

POSTER CHANGE REQUESTS

Please use the Poster Presentation Change Request form to:

  • Request a change in presenting author

  • Request a change in presentation method (after initial acceptance)

  • Withdraw a poster*

  • Request a change not listed here

*Abstracts should be withdrawn only under extraordinary circumstances. Please first try to find a replacement presenter. The deadline to withdraw a poster is Friday, February 2.

ABSTRACT EMBARGO POLICY

Abstracts accepted for presentation are embargoed until published in the ACTRIMS Forum 2024 Abstract Catalog. Abstract titles will be available on February 1st.

  • Full text of Regular Abstracts are embargoed until published on Monday, February 19, 2024.

  • Full text of Cutting Edge Development Abstracts are embargoed until published on Thursday, February 29, 2024.

  • Full text of Late-Breaking Abstracts are embargoed until published on Saturday, March 2, 2024.

SOCIAL MEDIA POLICY

Distributing news and information about the ACTRIMS Forum 2024 through social media is encouraged within the embargo restrictions. Please use the official hashtag in all social media posts: #ACTRIMSForum

+ Poster Presentation Guidelines

PREPARATION OF POSTER PRESENTATION

  1. Poster presentations should be self-contained and self-explanatory.
  2. The abstract title should be emphasized at the top of the poster with author(s) and affiliation(s).
  3. Content should flow from left to right and be oriented horizontally (landscape).
  4. Disclosure information relevant to the work should be provided.
  5. Poster presentations should not contain any of the following: commercial logos, company names, brand or proprietary drug names.

ePOSTERS

All poster presenters (onsite and virtual only) are asked to submit a PDF file of their poster for viewing in the ePoster Gallery within the ACTRIMS Forum 2024 event app.

  • ePosters must be submitted by Friday, February 16, 2024, to be included in the ePoster Gallery.
  • Please name the PDF file following this structure: PosterNumber_LastName (i.e. P001_Smith)
  • ePosters will be available to view in the event app during and after the meeting for up to 3 months.
  • Attendees will be able to contact poster presenters within the ePoster Gallery by clicking a “Contact Presenter” button which will send a message directly to the presenting author’s email for follow up.

“ePoster/Virtual Only” Particpation

Posters accepted as "ePoster/Virtual Only" will not be presented at a specific session. Virtual posters will be available to view in the ePoster Gallery only.

ONSITE PRESENTATION INFORMATION

Poster Dimensions

The maximum poster size is 3.5 FT HIGH X 6 FT WIDE. The poster should fit within the display area in landscape orientation. Text and illustrations should be easily readable from 3-6 feet away.

If you do not utilize the poster printing service (see below), you are responsible for printing and transporting your poster to San Diego.

Poster Sessions Schedule

There will be two poster sessions during the ACTRIMS Forum 2024 held in the Pacific Ballroom. Poster presenters must stand by their posters during their assigned poster session.

  • Poster Session 1: Thursday, February 29, 6:00 - 7:30 pm*

  • Poster Session 2: Friday, March 1, 6:00 - 7:30 pm*

*Even-numbered posters present from 6:00-6:45 pm; Odd-numbered posters present from 6:45-7:30pm

Poster Mounting and Removal

  • Poster numbers will be displayed on each poster board; please mount your poster under your poster number. Pins to attach the posters will be provided.

  • Poster presenters who are assigned to Poster Session 1 may mount their posters on Thursday, February 29 beginning at 12:00 pm in the Pacific Ballroom.

  • Poster presenters who are assigned to Poster Session 2 may mount their posters on Friday, March 1 beginning at 12:00 pm in the Pacific Ballroom.

  • All posters MUST be mounted by the start of the scheduled poster session.

  • Presenters who wish to take their posters home should plan to personally remove their posters by the end of their scheduled poster session.

  • All posters remaining after the designated removal times will be placed on a poster drop-off table in Pacific Ballroom and discarded by the end of the meeting.

ACTRIMS has partnered with Genigraphics to provide poster printing and onsite delivery services for the ACTRIMS Forum 2024. Place your order by Monday, February 19, 2024, and pick up your poster at the meeting in West Palm Beach. Click here for more information.

+ Oral Presentation Guidelines

PREPARATION OF POWERPOINT PRESENTATION

  1. You will have 15 minutes total: 12 minutes for your presentation and 3 minutes for Q&A.
  2. PowerPoint presentations should be in widescreen (16:9) format.
  3. The abstract title, author(s), and affiliation(s) should appear on the first slide.
  4. Do NOT include a disclosure slide; disclosure information will be provided in a summary page for all attendees to review.
  5. Oral presentations should not contain any of the following: commercial logos, company names, brand, or proprietary drug names.
  6. Text and illustrations should be easily readable; use high-contrast colors for best definition of your text.
  7. Presentations should be saved and uploaded as a PowerPoint Presentation (.pptx) file. Please name the file following this structure: PresentationNumber_LastName (i.e. S1.1_Smith)
  8. Presentations must be submitted by Friday, February 7, 2024, for review and approval by the Continuing Education (CE) provider. Please note that after review and approval of your presentation, only minor changes are permitted. Any changes must be re-submitted by 6:00 pm PT the night before your session.

ONSITE INFORMATION

Please be in the General Session room 15 minutes before the start of the session and check in with the Session Chairs.

The General Session room will be equipped with:

  • Laptop computer (pre-loaded with your presentation)
  • Projector and screen
  • Podium with microphone
  • Confidence monitor
  • Slide advancer/mouse

You will NOT be able to use your own laptop or flash drive during your presentation.

SPEAKER READY ROOM

  • The Speaker Ready Room will be open starting Thursday, February 29.
  • The Speaker Ready Room will have a mock setup of the technology in the General Session room. We strongly encourage you to visit the Speaker Ready Room to review your PowerPoint presentation and test the technology.
  • Presenters are not allowed to bring their PowerPoint presentation directly to the General Session room. It must be uploaded online or onsite in the Speaker Ready Room beforehand.
