Non-ACTRIMS Meeting Space
Third party organizations are welcome to host closed meetings only (e.g. “internal” or “by invitation only”) on Wednesday, February 27 through Saturday, March 2, 2019.
Meeting space is only available to exhibitors and/or sponsors of the ACTRIMS Forum 2019, unless authorized by ACTRIMS. To request a meeting space onsite at the Hilton Anatole, click "Request a Room" below to complete the online application by November 30, 2018. Meeting space assignments will be prioritized according to the date the Meetings Space Request Form is received and ACTRIMS’ ability to accommodate the request. Space is limited.
Meeting space assignments will be confirmed via email by ACTRIMS. At this time, the completion of a Meeting Space Reservation Agreement Form will be required. The agreement form will outline the date(s) and time(s) of the meeting room reservation as well as rental pricing, contractual terms/conditions and the cancellation policy.
Completed Meeting Space Request Forms received by Friday, November 30, 2018 will be charged $250/hour of room rental until 5:00 pm. If room rental is required beyond 5:00 pm, the meeting room may only be used for internal meetings so as not to compete with ACTRIMS Forum evening events. Meeting room rentals past 5:00pm will be considered a 24 hour hold and a flat fee of $4,000 will be charged per day.
Any completed Meeting Space Request Forms received after Friday, November 30, 2018 will be charged $400/hour until 5:00 pm and $5,000 per day for a 24 hour hold.
ACTRIMS is not responsible for any additional charges (e.g., audiovisual, food and beverage, etc.) incurred as a result of this arrangement. The Industry Supporter must arrange for payment of these expenses directly with the Hilton Anatole.

To disclose a meeting at a venue other than the Hilton Anatole, please complete the disclosure form by Friday, February 8, 2019. Offsite activities cannot compete with the ACTRIMS Forum 2019 programming.
